General Information for Faculty
All faculty are invited to walk in the Faculty Procession. You will receive an invitation via email and you must RSVP online with your correct code. This is important as the Ceremonies Office needs to know how many faculty to expect in the procession and to seat on stage.
If you are a UBC Faculty member and have not received an email invitation with a specific RSVP code by Friday, May 11 2018, please contact email@example.com.
Please note: Associate Deans and Members of the Vancouver Senate have a different RSVP code – please check your invitation.
On the day: You must check in to the assigned Robing Room 30 minutes prior to the start of the ceremony. If you are renting regalia, please ensure you leave adequate time to pick up your regalia from the Bookstore staff in the same Robing Room.
Appropriate academic attire is required of all participants. Faculty regalia (i.e. Black gown and UBC Faculty hood) may be ordered online through the UBC Bookstore’s faculty website.
UBC Faculty regalia and hoods can be purchased through Gaspard & Sons Ltd. A 10% discount will be given to Faculty when using the code UBCF1. For more information on this special UBC faculty rate, shipping, and ordering details, please visit www.gaspard.ca or call 1.888.949.5739.

Information for Other Volunteers
Staff, faculty and emeriti are invited to participate as a volunteer at any of our 28 ceremonies. This is a unique opportunity to get involved in this special occasion honouring our student’s achievements. By volunteering, you can be part of making it a memorable occasion for the students, their family and friends.

Volunteer Position Descriptions
Below are 2 volunteer position descriptions available for the ceremonies – interested volunteers should complete the Volunteer Registration Form – you are welcome to sign up for one or more positions.
Student Marshal (required for approx. 2.5 hours – 1 hour before and 1.5 hrs during each ceremony): Help the Senior Marshal organize and give instruction to the students prior to leaving the student procession area in the Graduate Student Centre ballroom at Thea Koerner House; lead the student procession from the Thea Koerner House to the Chan Centre; lead the procession to the Flag Pole Plaza after the ceremony has concluded.
Student Usher (required for approx. 2.5 – 3hrs – 1 hour before and 1.5 hours during each ceremony): Help with the students in the Chan Centre, Student Ushers manage the flow of students onto the stage from their seats in the theatre, help students safely descend from the stage and assist any students with special needs.
